The larger a corporate site, the more complex the distribution of IT equipment becomes. The first question is which devices are available and where they are currently located. COSYS Asset Tracking Software manages IT assets and equipment through two central components: a mobile app for operational data capture and bookings, and the browser-based COSYS WebDesk for monitoring and analysis.

Employees can record laptops, smartphones, tablets and other equipment directly on site using barcodes, serial numbers or RFID. Goods receipt, goods issue and transfers are documented immediately. This makes it possible to track which specific asset is located at which storage location or site. Equipment issue and return can also be recorded as digital transactions.

This information is brought together in the COSYS WebDesk. IT and asset managers gain an overview of inventory, locations, assignments and transaction histories. This is particularly valuable when an organisation operates several IT stores or corporate sites, preventing situations where equipment is physically available but staff first have to determine where it is located.

Internal Transport Connects the IT Store with the Collection Point

At large corporate sites, the required IT asset is often not located where it needs to be issued. A laptop, for example, may be stored in a central IT store but needs to be made available in another building on the campus. At this point, asset management becomes a logistics process.

At the destination, a COSYS Smart Locker provides the actual self-service function. The prepared IT asset is placed in a suitable compartment, where it is securely stored until the authorised employee collects it.

Access can be provided via PIN, QR code, NFC or scanning, for example. Different compartment sizes allow organisations to provide a range of devices and accessories. Compartment occupancy and access are documented digitally at the same time.

This removes a typical bottleneck from traditional IT equipment distribution: employees and IT staff no longer need to arrange a mutually convenient handover appointment. This is particularly useful at large sites, for shift-based operations and where flexible working hours are common. Employees collect their prepared equipment from the designated Smart Locker while the handover remains digitally traceable.

Returns Can Be Integrated into the Process

IT self-service does not necessarily end once a device has been issued. When equipment is replaced, an employee changes role or leaves the organisation, assets need to be returned. Smart Lockers can also provide a defined handover point for these processes.

Once returned, the asset can be recorded again, checked and transferred back into the appropriate inventory. For Smart Lockers, organisations can analyse metrics such as compartment utilisation, occupancy times, throughput times and usage patterns. This can reveal which sites handle particularly high volumes of IT assets, where compartments remain occupied for too long or whether additional locker capacity is required. Consistent digital data capture can also make irregularities in upstream asset movements easier to identify.
